Operations Coordinator

Position Overview
The Operations Coordinator is responsible for strengthening the internal systems that allow Bench Mark Program’s staff and programs to operate with clarity, efficiency, and consistency. This role oversees organizational processes, financial tracking, HR systems, and staff support structures to ensure Bench Mark can grow sustainably while remaining aligned with its mission and strategic plan.
The Operations Coordinator works closely with the Executive Director and Director of Programs to translate organizational priorities into strong operational execution.
Key Responsibilities
Systems, HR & Organizational Development
● Review, refine, and develop Bench Mark’s Standard Operating Procedures (SOPs) to ensure consistency and efficiency across the organization
● Scale HR policies and processes for hiring, onboarding, staff development, and retention
● Maintain and update employee resources such as handbooks, onboarding checklists, and exit guides
● Coordinate and help deliver organization-wide staff trainings that build shared skills in communication, documentation, conflict resolution, and technology
● Foster cross-team learning and a shared understanding of Bench Mark’s expectations and standards
● Identify and recommend tools or outside training that strengthen staff capabilities and confidence
● Use data from budgets, surveys, and operational reports to recommend improvements to systems and practices
● Gather feedback from staff and partners to improve Bench Mark’s systems and employee experience
● Support initiatives that contribute to staff morale, recognition, and a positive, mission-driven culture
Financial Oversight & Compliance
●Ensure financial and operational processes meet internal policies and external funder requirements
● Maintain organized financial and operational records to support audits and funder reviews
● Work closely with the external bookkeeper to ensure documentation, receipts, and reports are timely and accurate
● Oversee Bench Mark’s organizational budget and monitor spending trends
● Develop and track individual program budgets for responsible use of resources
● Support invoicing with partner agencies and funders to ensure timely and clear billing
● Submit and reconcile expense reports to maintain accurate records
● Assist with grant management by tracking spending and supporting reporting requirements
● Help maintain or recommend technology tools that support financial tracking, HR processes, and SOP documentation
● Oversee payroll processes in collaboration with the Director of Programs to ensure accuracy and timeliness
